Minute taking is like many skills. It’s difficult when you start but with practice becomes far easier.
The problem that many people have is that they’re not clear on what they’re trying to achieve.
So when learning the first task is to get clear on what you are trying to achieve – clear, useful minutes – and then taking minutes becomes more straightforward.
There are obviously a fair few other things involved but just that one step will make a big difference.
The simple rule is that all attendees for a meeting should receive the minutes.
In addition, a usual attendee who couldn’t attend for some reason should receive the minutes as the meeting will impact them when they attend in future.
Other people who you should consider sending minutes to will depend on the structure of the organisation that you work for.
In the UK companies are required by law to take and maintain minutes of their board meetings.
For other organisations taking minutes is widely accepted as good practice but not mandated by law.
Meeting minutes should allow someone not at the meeting to understand how the decisions made at the meeting were reached.
This will obviously vary meeting to meeting.
Meetings discussing contentious matters will be more detailed than meetings where there was general agreement on the matters discussed.
