Copilot is an AI-powered assistant built into Microsoft 365 applications.

It works alongside you to speed up everyday tasks, helping you write, analyse, and organize your work more efficiently.

Copilot is integrated with Word, Excel, PowerPoint, Outlook, and Teams (Microsoft 365 Copilot only). It also works in Bing and Windows Defender.

Yes, you need a Microsoft 365 subscription to use the more powerful versions of Copilot.

The requirements depend on the version you would like to use:

  • Copilot for Microsoft 365 (Enterprise & Business) – Requires a Microsoft 365 E3, E5, Business Standard, or Business Premium plan, along with a Copilot license.
  • Copilot Pro (for individuals) – Requires a Microsoft 365 Personal or Family subscription with the Copilot Pro add-on,
  • Copilot in Windows – Available in Windows 11 without a Microsoft 365 subscription. This version has limited functionality.

Always check Microsoft’s official site for the latest licensing requirements. The above is currently correct (Dec 2025) but subscriptions are subject to change.

  1. Open Settings in a Copilot enabled application,
  2. Locate the Copilot icon and click
  3. Toggle the Copilot switch to enable it
  4. Copilot will now appear in your ribbon menu

Microsoft 365 Copilot is compliant with all of Microsoft’s enterprise-grade privacy, security, and compliance policies as you would expect.

Copilot data and conversations are not used to train Copilot or other AI models.

1. Microsoft 365 Copilot (Paid Business Users)

Microsoft 365 Copilot uses your organisation’s data to offer the most relevant assistance.

Uses include streamlining workflows, summarising and creating emails, creating documents and presentations and creating meeting summaries and minutes.

It offers unlimited image creation and allows you to create and access custom GPTs.

2. Copilot Pro (Paid Individual Users)

Copilot Pro integrates with Microsoft 365 apps (Word, Excel, PowerPoint, Outlook, OneNote) but does not integrate with Teams.

It allows you to create and access custom GPTs and provides 100 ‘boosts’ for image creation.

3. Copilot in Windows (Free With Windows 11)

Copilot in Windows only offers basic functionality. It is integrated into Bing and Edge but does not integrate with other Microsoft applications.

It allows conversational search, limited AI image generation (15 ‘boosts’) and editing, and access to pre-built custom GPTs but no ability to create your own custom GPTs.

The number of custom GPTs is growing all the time but includes things like vacation planner, language tutor and music composer.

Copilot can help across the Microsoft 365 suite of applications.

Its application will vary for everyone but it can be used to:

  1. Recognise Patterns – Copilot can identify recurring tasks from your past emails and documents to suggest automations.
  2. Offer Smart Suggestions – It can learn your writing style and auto-complete text, draft responses and provides one-click email replies.
  3. Automate Workflows – Copilot is integrated with Microsoft 365, it streamlines scheduling, document creation, and data organisation.
  4. Respond to Commands – You can ask Copilot to “summarise this thread” or “generate a report,” and it does the work for you.
  5. Reduce Manual Work – In Excel, it will autofill data, create pivot tables, and analyses trends without manual input.
  6. Learn and Adapt – Over time, Copilot refines its suggestions to better match your preferences and workflows.

Yes this is a great task for Copilot.

It can ‘read’ reports for you and then create a list of key points for you.

If there are particular areas where you would like it to create more detailed notes that is also possible.

It is also possible to query Copilot once it has ‘read’ the documents to ask questions and for clarification on points that are not clear to you.

Copilot’s Outlook integration means that you can ask it to review your emails before you send them.

It will check your spelling and grammar and also to suggest improvements to your emails.

If you provide Copilot with access to your historic emails you can ‘train’ it so that its suggestions are in your tone and style.

To do activate this you will need to enable Microsoft 365 with enterprise permissions. Copilot can then access your past emails (within Outlook) to understand your tone, phrasing, and typical responses.

Your organisation’s IT administrator controls whether Copilot has access to your email history. If you’re unsure, check with your IT team or review your Microsoft 365 settings.

🔒 Privacy & Data Protection:

Microsoft has confirmed that Copilot does not train on your data for use outside your organisation. It only uses your accessible emails within your account to improve real-time suggestions.

You can also use it to summarise emails sent to you, or even entire threads!

Reading and writing emails takes up a huge amount of time, Copilot digs through the clutter and gets to the point.

Copilot is only as good as the prompts (instructions) that it is given.

This process is known as prompt engineering and relatively straightforward to master when you understand the basics.
